CRAFT TRAVEL GROUP LLC TERMS & CONDITIONS
Craft Travel Group LLC, operating as Craft Travel, is delighted to assist you in crafting your curated travel experience. To ensure a highly memorable journey, we've outlined the following Terms & Conditions, which govern all products and services we offer.
By confirming your itinerary, making a payment (as detailed below), or embarking on a trip designed by Craft Travel Group LLC (dba) Craft Travel, you acknowledge and accept these Terms and Conditions. Please take a moment to carefully review this document before submitting your payment, as it constitutes a legally binding agreement between you and Craft Travel Group LLC.
For clarity and the purposes of these Terms and Conditions, "we," "us," "Craft," or “Craft Travel” refers to Craft Travel Group LLC. "You" refers to you, any individual on whose behalf you are purchasing products and/or services, and all persons who travel on Itinerary that we prepared, or otherwise utilize our products and/or services.
Key Definitions
Travel Planning Deposit: A non-refundable travel planning deposit of $250-$1,000 to begin planning your personalized trip, which is credited towards your final trip cost if you book.
Itinerary: Your personalized travel plan, crafted by Craft Travel, encompassing accommodations, transportation, activities, and other essential details.
Proposal: A complimentary, non-binding overview of your potential trip, including a suggested Itinerary, estimated costs and these Terms & Conditions. See Section 2 of this document for more information.
Total Confirmed Price: The final, comprehensive cost of your trip, including all applicable taxes and fees, confirmed upon booking and subject to potential adjustments as outlined herein. It does not include a convenience fee if paying by credit card.
Cancellation Penalty: The amount you would be required to pay if you cancel your trip after making a payment. See Section 5 of this document for more information.
Supplier: Refers to any third-party entity providing services as part of the Itinerary, such as airlines, hotels, transportation companies, tour operators, and activity providers.
A. Travel Planning Deposit
1. To initiate the personalized trip planning process, a travel planning fee ranging from $250 to $1,000 is required after your complimentary consultation. Should you choose to book your trip with Craft Travel, this fee will be credited towards your total trip cost and deducted from your final invoice. This fee reflects our commitment to a collaborative planning process. This structure allows us to dedicate our full attention and expertise to crafting your itinerary, ensuring a mutual commitment to the planning process. The credit is subject to the following terms and conditions:
Not refundable.
Non-transferable.
Valid for one-time use only.
Expires 3-months from the date of issuance.
Holds no cash value and cannot be redeemed for cash.
Can only be applied toward the purchase of services from Craft Travel Group LLC.
Cannot be used for the purchase of gift cards or other promotional items.
Applicable only to services purchased by the individual making the booking (for services provided to the purchaser or a person traveling within their group).
B. Proposed Itinerary / Booking
1. We are pleased to prepare and quote a detailed Proposal for you at no obligation. This Proposed Itinerary is in three (3) parts:
An Itinerary: A document detailing all accommodations, flights, activities, and transfers that would be part of your trip.
A Quote: A non-itemized cost of products and services, including but not limited to those proposed in the Itinerary.
These Terms & Conditions.
2. The Proposal is an example of travel arrangements that we can arrange or provide for you. It is not a confirmed booking, or an offer to provide products and/or services, nor is it a binding commitment to do so. All arrangements and prices are examples only.
3. If, after reviewing the Proposal, you want Craft Travel Group LLC to proceed with a booking, you must go to the applicable page on Craft Travel’s website indicated by a link on the email sent to you with the Proposal, and click “Accept”, and digitally sign.
4. Once you click “Accept” and digitally sign, Craft Travel will confirm your arrangements by providing an Invoice and updated Itinerary. This Invoice will include a Total Confirmed Price, which is the estimated total cost of products and services to be rendered to you by Craft Travel and its suppliers.
5. The Invoice must be paid to confirm the Itinerary. Payment must be made either (as determined by Craft Travel) (i) in full, or (ii) in an amount determined by Craft Travel(in its sole discretion). Once this required payment is received by Craft Travel, the Itinerary (as may be modified as set forth below) and these Terms and Conditions will constitute a legally binding agreement between Craft Travel and each person named in the Itinerary.
6. All payments are non-refundable under any circumstances. If any balance is remaining on the Itinerary, it must be received by Craft Travel no later than sixty (60) days prior to the scheduled first day of travel.
7. The Total Confirmed Price on the Invoice is subject to change if payment is not received within 48 hours after presentation (in Craft Travel’s sole discretion), due to changes in currency exchange rates and arrangements with suppliers. Craft Travel will notify you of a change in Total Confirmed Price, which notification may be after your payment is applied if not made within the 48 hour period. If your Total Confirmed Price is not paid in full at the time of initial payment, the balance may also be subject to changes in the exchange rate.
8. Your travel documents will be issued approximately 10-14 days prior to departure, unless otherwise agreed upon and sent via email.
C. Itinerary
1. The Itinerary includes tours, transportation, admissions, accommodations, and meals that Craft Travel will provide or arrange for, as specified in that document.
2. All other arrangements not set forth in the Itinerary are not included, and must be provided by you at your own cost, or (at Craft Travel’s option) by Craft Travel at additional cost to you.
3. Products and services not included in the Itinerary and the Total Confirmed Price include, but are not limited to: travel and medical insurance; international and internal airfares, unless otherwise noted; costs associated with obtaining passports or entry visas; border fees; airport departure taxes, unless otherwise noted; airline baggage charges; excess baggage charges; gratuities to guides, drivers, and housekeepers; meals other than those specified in the Itinerary; room service; beverages other than as specified in the Itinerary; sightseeing not included in the Itinerary; and personal expenses such as laundry, communication charges, and optional activities.
D. Deposit / Payments
1. After you make your initial payment, an Invoice detailing your remaining payment obligations will be sent to you. The amount of the additional payments and their due date(s) may change if you change parts of your Itinerary.
2. Final payment for all amounts due to Craft Travel is due 60 days prior to scheduled departure. Final Documents will ONLY be sent after final payment is received, together with a completed Information Form for each traveler on the booking.
3. Your trip is considered fully non-refundable sixty (60) days prior to the scheduled first day of travel.
4. Any additional costs incurred after the final payment due date will be due upon receipt of an invoice. Such costs may include (but shall not be limited to) additional travel arrangements requested after the Itinerary is confirmed, and additional costs imposed by suppliers and/or governmental organizations.
5. All payments must be made by credit card, or electronic funds transfer. Cash and travelers’ checks are not accepted. If Craft Travel does not receive a payment by the due date, your Itinerary will be canceled for all members of your party, and you will forfeit the deposit, in addition to other amounts according to the date of cancellation.
6. If a payment is returned or dishonored for any reason, Craft Travel will assess a $50 returned-item fee per occurrence. This fee must be paid in full within ten (10) days after invoicing.
E. Cancellation
1. If after making your initial payment you find you must cancel the trip, the following Cancellation Terms apply:
If notice of cancellation is received by Craft Travel:
Sixty-one (61) days or more prior to the scheduled first day of travel, the Cancellation Fee will be the amount you paid towards the Total Confirmed Price, which may be the entire cost of the Itinerary; or
Sixty (60) days or less prior to the scheduled first day of travel, the Cancellation Fee will be the Total Confirmed Price, plus any additional charges due to changes in plans that you requested.
In addition, you must pay any cancellation fees and penalties imposed by suppliers providing products and/or services for the Itinerary, including non-refundable deposits paid by Craft Travel to lodging properties and airline ticket costs; and
A Credit card convenience fee (3.5-4.5% of the charged amount) will be added to all cancellation fees and penalties charged to a credit card.

2. The Cancellation Notice must be in writing. Cancellation will be effective upon receipt by Craft Travel.
3. All airline tickets are considered non-refundable once ticketed, unless specified otherwise. You are responsible for inspecting your airline tickets upon issuance, and immediately reporting any errors. Any changes to airline tickets will be governed by the airline’s terms and conditions. If you wish to change your airline tickets, the airline may impose additional fees.
4. We may issue you a voucher for certain tours or services provided by a third party. If you do not use this voucher, or end a tour or service before its completion, no refund will be issued.
5. 5. On a case-by-case basis, discretionary refunds that we secure from our suppliers outside of these terms will be returned, less a $500 per person administration fee, which can be applied to a new booking.
F. Travel Delays, Requested Changes & Changed Circumstances
1. The unexpected can arise during international travel, despite our efforts to provide the trip as described in your Itinerary. You should anticipate and plan for changes.
2. Craft Travel Group LLC and its suppliers are not responsible for any airline cancellation or delay. Similarly, Craft Travel is not responsible for flight rescheduling, or for seating requests. You must reconfirm all flight arrangements directly with the airline at least 72 hours in advance.
3. The Total Confirmed Price set at the time of booking is based upon external supplier costs such as air fares, taxes, accommodations, ground transportation, admission fees, and other costs outside Craft Travel’s control. These costs are subject to change until final payment is received. If costs increase, Craft Travel will invoice you for the increased amount, which invoice shall be due and payable within ten (10) days.
4. Certain prices are quoted in US Dollars based upon the exchange rate at time of booking. Craft Travel reserves the right to assess an additional fee equal to the amount the exchange rate for a service changes between time of booking and the time of final payment.
5. Craft Travel will make reasonable efforts to accommodate any voluntary changes you may request following acceptance of the Itinerary. You will be responsible for any additional costs arising from your voluntary changes, including but not limited to cancellation fees assessed by suppliers, costs imposed by suppliers added to your Itinerary, extra transfers, extra nights in a hotel, added tours, added flights, and/or changes in dates. In addition, Craft Travel may in its discretion assess an administrative fee to cover the cost of planning and implementing your voluntary changes. These additional charges will be charged to the credit card we have on file, with or without a corrected signed credit card authorization form. This is to ensure your convenience and protect our valued suppliers.
6. Craft Travel makes reasonable efforts to adhere to the Itinerary. However, changes may be necessitated by weather, governmental action, civil unrest, availability of accommodations, and/or other factors outside of Craft Travel’s reasonable control. These are known as “Changed Circumstances”. In the event of Changed Circumstances, Craft Travel shall endeavor to offer a reasonable alternative at no additional cost (except for mandatory additional costs imposed by the supplier). Such alternative may involve a delay in all or part of the Itinerary. If a reasonable alternative is not available, or you decline the reasonable alternative, Craft Travel shall refund you the amount of your Total Confirmed Price arising from the Changed Circumstances, if any; provided the supplier(s) impacted by the Changed Circumstances issue a refund to Craft Travel. If the Changed Circumstances arise during your Itinerary, Craft Travel shall alter the Itinerary as appropriate for purposes of safety (in Craft Travel’s sole discretion), without the cost of such alteration being deducted from any refund otherwise due to you.
G. Force Majeure Occurrences
1. In addition to Changed Circumstances, in some cases there may be a “Force majeure” occurrence. Force majeure means unusual and unforeseeable circumstances beyond Craft Travel's control or the control of our suppliers, the consequence of which neither Craft Travel, nor its suppliers, could avoid even with reasonable care, including, but not limited to, war or threat of war; riot; civil strife; terrorist activity (actual or threatened); industrial dispute; technical problems with transport, machinery or equipment; outages or power failures; natural or nuclear disaster; fire, flood, drought or adverse weather conditions; pandemics, epidemics or outbreaks of illness; and ice conditions in oceans and level of water in rivers. In the event of a cancellation or material alteration to the Itinerary as a result of the circumstances as described in this clause, Craft Travel shall have no liability whatsoever for any travel related costs incurred by you, including but not limited to air, insurance, visas and other travel arrangements of any kind.
H. Fitness for Itinerary
1. To enjoy the Itinerary as intended, a minimum level of fitness is required. By confirming the Itinerary and making a payment, you represent that you (and those traveling with you, if applicable) have been advised to discuss the activities and rigors of the Itinerary with a qualified doctor, are physically and emotionally fit to travel, and further warrant that no travelers have any medical or emotional condition that would endanger any traveler or result in a deviation of the Itinerary.
2. Any traveler with special medical, physical, or other needs requiring medical attention or special accommodation during the Itinerary is requested to solicit information from Craft Travel about the demands of the Itinerary prior to paying the initial payment, so the traveler can contact his/her own medical professional to confirm that the Itinerary is appropriate for the traveler (in the traveler’s sole judgment).
3. Craft Travel is unable to provide assistance to any traveler with special needs, except as included in the Itinerary in writing. Similarly, Craft Travel is unable to provide any medical care, other than to provide assistance to help a traveler locate a local doctor or hospital if an emergency arises.
4. You acknowledge and agree to voluntarily assume any and all risks in any way related to exposure to any communicable or infectious disease such as COVID-19, including illness, injury, or death of you or others. You acknowledge that participation in the Itinerary is entirely voluntary. By participating in the Itinerary, you attest that you are knowledgeable about your individual risk of developing severe illness if you are exposed to and/or infected with highly contagious or communicable illnesses or diseases such as
COVID-19. You must make an informed decision about travelling and is strongly encouraged to consult with a medical provider before deciding to participate in the trip based on your individual risk.
I. Insurance
1. Craft Travel strongly recommends the purchase of travel insurance for each traveler on your trip. Craft Travel may require insurance for some Itineraries, in its sole discretion and/or if required by suppliers.
2. Insurance should include coverage for trip cancellation, trip interruption, medical emergencies, emergency evacuation, and lost/delayed baggage. Your Itinerary and trip cost does not include the cost of insurance, unless specifically stated on the Itinerary. Most homeowners insurance policies do not cover risks, loss and expenses related to travel.
3. While we strongly recommend the purchase of travel insurance, Craft Travel is not qualified to provide detailed advice on specific insurance coverages. You can purchase insurance through Craft Travel, or on your own (in which case proof of purchase may be required). We recommend that travel insurance be purchased within 14 days of your initial deposit to help ensure protection against preexisting conditions.
J. Passports & Visas; Government Health & Safety Advisories
1. All travelers must have a valid Passport, regardless of age or nationality. Certain countries may require that a Passport be valid for more than six (6) months after the scheduled end of your trip. Each Passport should also have sufficient blank visa pages for entry and exit stamps.
2. If you do not have a valid Passport, we recommend applying at the time you make your initial payment; and even earlier if your travel is within six (6) months. Processing times can be long. Craft Travel is not responsible for your failure to secure a Passport in time for your trip. If you are unable to travel for this reason, it would be deemed a cancellation by you.
3. Many destinations also require visas. Clients are responsible for informing themselves of visa requirements for each destination, obtaining any required visas, monitoring changes to visa policy, obtaining required vaccinations, and complying with any other preventative medical requirements.
4. You may be refused boarding or disembarked from a plane, vessel or train without liability for refund, payment, compensation, or credit of any kind if you do not have proper documentation, and you will be subject to any fine or other costs incurred by Craft Travel that result from improper documentation or
noncompliance with applicable regulations. Craft Travel shall not be responsible should any Client be denied entry to a country due to noncompliance with these requirements.
5. Travel advisories and warnings are issued by the US State Department and other governments, and placed on their websites. It is your responsibility to become informed about the most current travel advisories and warnings by referring to the U.S. State Department or their respective government agencies, and/or other country’s government (if you are from outside the US). In the event of an active State Department or government agency travel warning against travel to the specific destination location(s) in the Itinerary, should you still choose to travel, notwithstanding any travel advisory, you assume all risk of personal injury, death or property damage that may arise out of the events like those
advised or warned against.
6. You are also strongly encouraged to review any CDC travel advisory, warning, or recommendation relating to travel and health prior to making your initial payment, at https://www.cdc.gov, and to visit the U.S. State Department’s website at http://travel.state.gov.
K. Supplier Terms
1. Craft Travel acts as an agent for third party suppliers providing lodging, transportation, tours, and any other services. As such, Craft Travel shall not be responsible or liable for any delays, loss, or damages (including injury or death) arising from any cause whatsoever, including but not limited to loss, delay, damages, and/or dissatisfaction caused by third party products or services.
2. Certain vouchers, receipts and tickets issued by Craft Travel, or issued by a supplier and provided to you by Craft Travel, are subject to the supplier’s terms and conditions. There may be different cancellation terms than in these Terms and Conditions.
3. If a supplier agrees to issue a refund for any reason, Craft Travel shall have no obligation to refund money to you until Craft Travel receives the refund proceeds from the supplier. Further, Craft Travel shall have no obligation to pursue a refund other than to make a request therefor in circumstances that Craft Travel deems appropriate (in its sole discretion).
4. Craft Travel selects lodging properties and other local suppliers that will reasonably meet the needs of our clients. As with any supplier, there may be factors which impact on the client experience. Craft Travel will not be held responsible for refunding clients based on negative experiences at a property.
L. Baggage
1. Craft Travel recommends that you limit your baggage as much as possible. Your baggage must meet the regulations of the airline(s) and other suppliers that you will be using, including size restrictions and baggage quantity. Please inquire about the rules, particularly if your plans include traveling on a charter airline or small aircraft. All baggage fees imposed by airlines and suppliers are the traveler’s responsibility.
2. Your baggage and personal belongings are your own responsibility. Craft shall not be liable for, or accept any responsibility for, any misplaced luggage, or loss or damage to your baggage, personal items or other property. You may purchase insurance to cover certain losses. Further, Craft strongly recommends that you not bring with you any items with significant financial or sentimental value.
M. Assumption of Risk; Indemnification; Waiver of Claims
1. Participation by you or anyone in your group in the Itinerary, including but not limited to any tour or activity arranged by Craft Travel and/or provided by a supplier, is undertaken at your own risk.
2. You, for yourself and the persons traveling on the Itinerary issued to you, and each of your/their heirs executors, representatives, successors and assigns, hereby indemnify, defend, and hold harmless Craft Travel Group, LLC, its parents, subsidiaries, affiliates, officers, directors, employees, and contractors (each a “Craft Travel Indemnitee” and collectively, the “Craft Travel Indemnitees”), from and against any claim arising for any damages or loss (including but not limited to injuries or death) which might be instituted against a Craft Travel Indemnitee arising from or in connection with the products and/or services furnished by or on behalf of Craft Travel.
3. You, and each person traveling on the Itinerary issued to you, for yourself and each of your heirs, executors, representatives, successors and assigns, irrevocably waives any claims which you may have against Craft Travel for any compensation for claims, damages, or losses which you may suffer due to injury or loss of any nature whatsoever (including death), including but not limited to incidents caused by your own actions, injuries or death while on a tour, in a vehicle, or at any place during the Itinerary or at any time thereafter.
4. Craft Travel acts as an agent for third party suppliers providing lodging, transportation, tours, and any other services. As such, Craft Travel shall not be responsible or liable for any delays, loss, or damages arising from any cause whatsoever, including but not limited to loss, delay, damages, injury, death, and/or dissatisfaction caused by third party products or services.
N. Miscellaneous Terms
1. These Terms & Conditions may only be amended in a writing executed by an authorized representative of Craft Travel.
2. These Terms & Conditions and the Itinerary prepared by Craft Travel will constitute the agreement between you and Craft Travel (hereafter referred to as the “Agreement”).
3. If any provision of the Agreement is found by a court of law to be unlawful or invalid, such provision shall be null and void, and the remainder of the Agreement shall remain in full force and effect.
4. Craft Travel’s failure to exercise any right or remedy in this Agreement shall not constitute a waiver of such right or remedy.
5. Craft Travel shall not be liable for any claims whatsoever unless notice of the claim (with details) is provided in writing to Craft Travel within ninety (90) days after you complete the trip in the Itinerary. Legal proceedings to recover on any claim whatsoever shall not be maintainable unless commenced within six (6) months after the guest completes the trip, and unless served upon Craft Travel within one hundred twenty (120) days after commencement. Guest expressly waives all other potentially applicable state or federal limitation periods for claims.
6. Limitation of Liability: Except for gross negligence, willful misconduct, or fraud, in no event shall a party be liable to the other party for any consequential, incidental, indirect, special or contingent damages arising out of or in connection with this Agreement, the Itinerary, or the products or services provided hereunder, whether arising out of breach of contract, breach of warranty, tort, or any other legal theory, and each party hereby disclaims any and all such damages.
7. This Agreement, including but not limited to the terms by which Craft Travel provides services to you, is governed by the laws of the State of Florida. Any disputes arising hereunder shall be submitted to exclusive jurisdiction of the federal or state courts located in Miami, Florida, USA.
8. Should Craft Travel take any action to collect any amounts due to Craft Travel, Craft Travel shall have the right to recover, in addition to the amounts owed, the costs of collection, including but not limited to reasonable attorney’s fees.
9. The rights, benefits, duties and obligations arising to you in the Itinerary and this Agreement shall not be assignable or transferrable except with Craft Travel’s prior written consent, which may be withheld in Craft Travel’s sole discretion. You may not transfer your Itinerary or any plans to another person without Craft Travel’s consent. Additional costs may be assessed as a condition of such consent.
10. Notice: All notices to Craft Travel shall be in writing, and addressed to Craft Travel at the following address:

Notice may also be sent by email to info@crafttravel.com provided, that such notice shall not be deemed effective unless acknowledged by Craft Travel. All notices shall be deemed made when received by Craft Travel.
All notices to you shall be sent to the address listed in your Itinerary (or proposed Itinerary). If you provided an email address, notice may be sent to you by email.
11. You grant Craft Travel Group LLC and its contractors and suppliers the right to use your Personal Information as necessary or appropriate in order to execute the Itinerary, and perform Craft Travel’s other duties and obligations under this Agreement. “Personal Information” shall include the following: (i) Your full name; (ii) your address; (iii) email address; (iv) telephone number; (v) your Itinerary information; and (vi) your photograph or other image.
